Policies & Procedures
We want to ensure you and your guests have the greatest experience possible at Texas All Inclusive. Our policies and house rules help us provide the highest quality service at the lowest price in an elegant setting and help protect the safety and security of all guests and staff.
House Rules When You Rent
HOUSE POLICIES
General non-negotiable house policies in no particular order:
- Client and staff safety is paramount. The facility will be well maintained and free of all foreseeable hazards. This may include safety signage and warnings, door and cabinet locks, lighting specifications, a specified cleaner inventory, first aid kit procedures, tool kits, and more. Staff and clients who violate safety protocols will be issued a warning. Subsequent infractions will result in removal from the property.
- At least one venue staff will remain onsite for the duration of every event, including A La Carte venue rentals. This venue manager has the authority to enforce house policies, ask guests who are in violation to leave, or shut the event down in unsafe conditions.
- We will follow all city, county, state or OSHA regulations in regard to event volume.
- Fog, haze and dry ice machines will be allowed. No indoor bubbles, snow, or cold sparks are allowed.
- Adherence to Fire Codes and capacity limitations is mandatory.
- Events that are sexual or lewd in nature will not be allowed.
- Vendors or guests who do not follow posted rules or the agreement terms will be asked to leave by management and barred from returning.
- Smoking is only allowed in outdoors, including vape pens. Smoking will not be allowed in ceremony spaces.
- Outdoor events wishing to move indoors due to inclement weather may be allowed to do so, space permitting, free of charge with a 24-hour notice. Switching spaces with a 4 - 24-hour notice will incur a $250 change fee. Changes due to weather will not be allowed with less than a 4-hour notice.
- Indoor candles are not allowed.
- Outdoor fires will be in designated fireplaces or pits only. No outdoor fires will be allowed if there is a city or county fire ban order.
- Nothing is to be hung on or from walls, windows or the ceiling unless on authorized, venue installed hooks. Drapes must hang from pipe and drape stands.
Sales Policies
- 30-minute private event consultations are free to interested clients with no obligation.
- A 1-hour event planning consultation is included for clients renting one space.
- A 2-hour event planning consultation is included for clients renting more than one space.
- Additional consultation time is billed at $75 per hour.
- A non-refundable deposit of 15% is required to reserve venue spaces. The amount goes toward the total balance due. Complete venue rental payment is required in full 90 days prior to the event.
- A non-refundable deposit of 25% is required to reserve catering, baking, decor and floral services. The amount goes toward the total balance due. Complete payment is required in full 30 days prior to the event.
- A non-refundable deposit of 25% is required to reserve any event or party equipment. The amount goes toward the total balance due. Complete payment is required in full upon delivery or by the scheduled start of the event.
- A non-refundable deposit of 50% is required to reserve entertainment services and equipment. The amount goes toward the total balance due. Complete payment is required in full immediately upon completion of the performance or service.
- Clients pay TAI directly and not the vendors.
- A signed contract is required along with the deposit payment to reserve the date.
- Clients renting more than one space will have exclusive access to the entire property during their rental.
- Event financing agreements with monthly installments may be issued for larger events or weddings for a 5% fee.
- A 3% processing and convenience fee will be added to the total balance for all credit card payments.
Alcohol - TABC COMPLIANCE
- Alcohol policies vary by venue. Please contact us for clarification.
- Alcohol may be served at an event and provided by the client. Requires a credit card on file for damages, proof of liability insurance, payment for security personnel, and a $50 Alcohol Service Fee with agreement.
- Beer and Wine may be BYOB for events of 20 or less guests. No sales of any alcohol, no consumption of hard liquor or bar service allowed without a TABC certified bartender on staff.
- Events of 21 guests or more require all alcohol to be served by a TABC certified bartender.
- All hard liquor must be served by one of our TABC Certified bartenders. Drinks will be properly measured before serving. There is NO self-serving.
- Liquor must be mixed with a soda, juice, or a mixer. No shots.
- Alcohol fee and “Alcohol Service Agreement Form” must be completed, signed and received at least 30 days in advance, including the inventory that will be brought to the event.
- We will hire and pay TABC Certified Bartenders and Certified Security Officers. Minimum of 4 hours service. 1 bartender for every 60 guests expected. 1 officer will be hired per 75 guests expected when liquor is served. 1 officer is to be hired per 100 guests expected when beer and wine only are served. The rate for bartenders is $45 per hour and security officers are $65 an hour.
- Last call for alcohol takes place 45 minutes before the event ends with service closing 30 minutes before the event ends.
- During the remaining 30 minutes after the bar closes, the bartending staff will box all the remaining alcohol, seal the box with tape, and then note the remaining inventory. The bartender and the security officer will escort the remaining alcohol to the designated driver's trunk to be promptly removed from the property.
